The Office of Research and Innovation supports the research and innovation infrastructure of the University, ensuring the successful implementation of the Research Strategic Plan. Faculty and students lead a range of high-impact research projects that are aimed at improving communities, creating outstanding learning experiences for students, and contributing essential understanding of the world around us. The Administrator supports Researchers with the day-to-day operational administrative needs related to active external research grants and programs.


RESPONSIBILITIES

Researcher Administrative Support (70%)

Serve as a point of contact for Researchers with external grants, for administrative support.
Liaise with Researchers and Research Outreach Officer to update current university research for the Research web page and the Research Office’s database.
Ensure Researchers comply with the University and granting agency’s policies concerning spending.
Process financial claims including, but not limited to; purchase orders, travel claims, invoicing, and service contracts
Organize all travel arrangements, conference registrations, itineraries, travel documents and authorizations for research-related travel
Organize and reconcile researcher credit card statements every month
Develop and maintain a robust record-keeping system, adhering to access and sharing policies and restrictions
Liaise with People and Culture to post student research assistant advertisements and develop employment contracts
Assist Researchers with the organization of annual reporting and various timelines
Assist Researchers with the dissemination of research-related activities
Develop and maintain individual researcher websites as requested using sites such as Squarespace or Wix
Schedule regular meetings with researchers to maintain a high level of support
General Administration & Events (20%)

Provide support to the Research Officer and Research Outreach Officer in day-to-day operations
Assist the Research officer and Research Outreach Officer with the planning, coordination and execution of department events.
Other Duties (10%)

WORKING CONDITIONS:

Physical Effort

Minimal: Extended periods of sitting and working at a desk with a computer; some mobility required for meeting and event coordination and execution

Physical Environment

Minimal: General office environment. Minimal exposure to unpleasant/disagreeable conditions.

Sensory Attention

Moderate: Moderate need for detailed/precise work to be completed while accommodating regular interruptions in an administrative environment

Mental Stress

Moderate: Moderate mental stress; regular office hours with occasional variation due to events, and occasional pressure due to deadlines.

MINIMUM QUALIFICATIONS

Minimum one (1) year experience working in an office administration role and an undergraduate degree are required; or an equivalent combination of education and experience is required.
Experience in a post-secondary or research environment is an asset
Excellent written communication skills and interpersonal skills with the ability to represent the university professionally in interactions [with internal stakeholders and/or external communities]
Excellent administrative and organizational skills with the demonstrated ability to take initiative and prioritize work in a high-volume office
Ability to work in a team environment
Ability to work independently
Understanding of and ability to uphold strict confidential regulations as per university policy
Ability to multitask and work under pressure in a dynamic environment
Be able to work effectively with people having diverse backgrounds, styles and abilities
Innovative problem-solver
Excellent use of technology for collaboration; strong computer skills, including Microsoft applications; G-Suite knowledge preferred
